How does the Essential Mail
Service Work?
- You
transmit data (a print stream) to Scan2Archive via secure FTP (File
Transfer Protocol) link that is established between the two
organisations.
- Scan2Archive
processes the data and identifies whether the customer’s invoice is to
be sent via facsimile or e-mail.
- The data
is matched into the invoice overlay and a PDF-image file produced.
Facsimiles
are generated using the contact details supplied and e-mails are
generated using the address data supplied.
- The
Online database is updated from the supplied data (print stream) and
the resultant PDF-image document attached.
- Your
customers who choose email delivery receive a PDF file of the original
paper statement; they then have the option to receive a CSV file
containing summary financial data, which can be directly downloaded
into applications such as business accounting software. The latter
feature is particularly attractive for large customers - some of whom
may receive up to 100 invoices a day - as it saves considerable data
entry time and precludes keying errors. Apart from improving customer
service, email delivery reduces the production cost of invoice
statements by more than 50% over the paper alternative. Fax delivery of
invoice statements is also offered for certain customers.
