How much does it cost to scan my files?

The cost to digitise your materials is determined by a number of factors. Where possible, Scan2Archive prefer to view your files and materials.

Viewing onsite is the most accurate way to quote on your project. Alternatively, if you forward images of your materials to us, that’s also a great starting point.

By viewing your materials, our team of professionals can assess your requirements and offer the most cost effective way to transition to a paperless work environment.

There are no hidden charges. Our pricing covers every step of the process from collection of materials to the return of your digital files.

How can I get my materials for scanning to you?

Scan2Archive provide a secure collection service using our own drivers and vans. We can collect your materials at a time suitable for you. Additionally, we have access nationally to sensitive transport operators for reliable and safe materials forwarding.

Do I need to pack my materials into boxes for collection?

We will find the most effective way to prepare your materials for transportation to our scanning facility.

If documents need to be packed into boxes, Scan2Archive can provide archive boxes (to State Records standards) and the people to pack your records into these boxes. When packing, we create a box list and record the contents of each box to ensure every document is accounted for prior to leaving your premises.

You may want to retain the paper records after scanning. In which case, it’s possible to transport your materials in their filing cabinet drawers using our own secure collection service. This saves time and money packing boxes.

Can you securely destroy my materials after digitising them?

Yes, Scan2Archive will store your files securely for an agreed period before destruction. We ensure you are happy with the digitised files and will not destroy the materials without your approval.

Materials are cross shredded, pulped and recycled and a certificate of destruction is provided to you.

Can you setup a scanning station at our office?

Yes. If you have sensitive material that is unable to leave your premises, Scan2Archive can setup a portable scanning station for the duration of your project. Our on-site solution is scalable to process your materials within the timeframe required.

I have large plans with fine detail. Can you scan plans in hi-res?

Yes, we can scan your plans and architectural drawings from A4 to A0 in resolutions up to 600dpi to capture all the fine detail. If need be, plans and drawings can also be providing in raw output file formats with lossless compression.

Our IT Department is concerned the digitised files will use up all the server disk space. Can you compress the files without losing image quality?

Scan2Archive use the latest file compression software and 38 years of digitisation experience to provide the most superior quality image files while being mindful disk space limitations.

If you are concerned that file compression may impact the quality of your files, Scan2Archive can offer sample images in different compression formats for you to review and approve before we proceed.

Is Scan2Archive a Government Approved Supplier?

Yes, Scan2Archive are a vendor on NSW Procurement ICT Services SCM0020 Category G20 Digitisation and a signatory to Queensland GITC5 for Government purchasing.

Who actually handles my documents?

Every member of our team holds a current police clearance and is bound by a strict confidentiality agreement. Your documents are handled with professionalism and discretion by experienced, security cleared staff at every stage of the process.
